01

Start with where the work will live

List the website sections, recruiting pages, sales materials, and social channels you need to support. Give each deliverable an audience and a purpose.

  • Photo subjects, approximate count, and crop requirements
  • Video lengths, aspect ratios, captions, and audio
  • Priority assets if the schedule needs to be reduced

02

Build a realistic production day

Photography and filming share space, people, and setup time. Interviews need quiet, lighting, and clean audio. An event needs coverage around its run of show.

  • Address, access hours, loading, and filming spaces
  • People count, interview subjects, and availability
  • Setup, breaks, company activity, and a backup plan

03

Make the quote comparable

Ask what the price includes and what changes the scope. A useful quote identifies the crew, production time, post-production, and delivery requirements.

  • Crew roles, equipment, travel, and location expenses
  • Retouching level, edit rounds, and change requests
  • Usage channels, duration, and any separately licensed assets

04

Decide how approval and delivery work

Choose one person to consolidate feedback. Give the production team brand references, names, pronunciation notes, and deadlines before the shoot.

  • The decision maker and a consolidated review process
  • Preview, first cut, feedback, and final handoff dates
  • File names, folder structure, exports, and archival needs

Choose the right starting scope.

Starting prices assume NYC. Your quote confirms crew, deliverables, licensing, travel, review rounds, and timing. Event coverage and recurring programs are scoped separately.
